Manage users within Access Evo?

This article explains how you can manage ConQuest users within Access Evo.

This is different from older versions of ConQuest, where users share passwords. Within Access Evo every user has a named user record and administrators can control what they can do in the system.

Evo Members

You can add users to ConQuest via Evo Members. Once you add a user in Access Evo, Evo Administrators can control which products they can access by selecting Manage roles:

For each instance of ConQuest, the following options are available:

No Access

The user can't open ConQuest.

Administrator

The user can open ConQuest and have Master security profile permissions.

User

The user can open ConQuest with the permissions of their assigned security profile.

📌Note: Organisation Role doesn't affect whether users can use ConQuest.


System Options - Users

Once you add a user to ConQuest a record for them appears within System Options – Users:

Each record displays the User Profile assigned to them, which controls what they can do in the system.

You can change this using the Edit selected user button and then selecting a different user profile.


System Options – User Profiles

User Profiles control what users can do within ConQuest. Each User Profile grants permissions to work with certain Modules and Facilities, and then users are assigned to User Profiles:

By default, a standard set of User Profiles are available in ConQuest and users can edit and create User Profiles to match their job roles.

Please be aware of the following when setting up User Profiles:

  • In the box in the top left of the form, you can edit the name of the User Profile.

  • You can delete unused User Profiles.

  • The Master User Profile is a special protected user profile that is set against ConQuest Administrators.

  • ConQuest Administrators always have the Master User Profile and you can use it to edit User Profiles.

  • When users next open ConQuest, it applies the changes to the User Profiles.

  • You can set a default User Profile. You can use this when you set new users to use ConQuest in Evo Members.


Master User Profile

The Master user profile is a special user profile, which you can't rename or delete. It's used for any user set as a ConQuest Administrator in Evo Members.

When you edit a ConQuest Administrator user record, you can't change the User Profile. This ensures that a ConQuest Administrator can always manage the setup of ConQuest:
