Updating the library

Adding/Deleting new resources to the library

Written by Sunil

Tip: Library management requires a different password.

This is in the passwords list provided when the software is installed.

If nobody knows what this is, we will need an email from management before we can provide it.

Care should be taken when making changes to the libraries:

  • If you have a network install accessed by multiple users, this should be done with an 'offline' copy of the library

  • Ideally, changes will be made by one nominated person, to ensure that any changes are not overwritten by another.

  • If you want to be configured for this, please raise a new case online and reference the title of this article.

The library should always be backed up before making changes.

  1. Ensure that you are in a job which uses the appropriate library

  2. From the Tools menu select Zip and then Current Library

  3. Give this file a name, ideally with the date in so that the latest one is easily identified.

Tip: It is a good idea to keep several such backups rather than overwriting them each time, in case problems go unnoticed for a while.

Altering prices and adding additional items is fairly safe, however, if you intend to work with library Groups, we would recommend taking the Library Consultancy to help you understand and plan this, as it is a very complicated topic and very easy to cause problems if it is done wrongly.

There is unfortunately no way to import items into the library, they have to be added manually.

To update items in your library:

  1. Log in to ConQuest using the appropriate password

  2. Go into the Library module then from the Resources menu select Amend Resources

  3. The Allow Changes check box will now be visible at the top right.

Updating prices on most resource types is just a matter of overtyping the existing rate, however, for resources such as Subcontractors and Quoted Materials, the rate should always be 1.

To update the rate of a gang, double-click the rate to open the buildup and make the required changes there.

Before adding a new resource, ensure that you have the correct resource type selected

  • To add a resource at the end of the list, select Add then give the item a name and click OK

  • To add a resource in a particular place, highlight the item you wish to add the resource above and click Insert, give the item a name and click OK

  • When adding very similar resources you can highlight a similar item then use Add Like to avoid having to completely retype the name, however, this will add the resource at the end of the list.

  • To move a resource to elsewhere in the list:

    1. Highlight the item and click Move.

    2. Highlight the item you wish it to appear above. The button will now be Move To.

    3. Once the Move To has been clicked, the item will appear in the new location.

Once you have added the item, you can set the unit and the rate. If you are adding a gang resource, you will need to double-click the rate to open the buildup and select the Labour and Plant resources, which make this up to get your rate.

Note: Resources cannot be deleted, if you have a resource which should not be in the list, change the name to a full stop and move it to the bottom of the list.

Do NOT rename existing resources to make new ones unless you have just created them and so can be absolutely certain that they have never been used.

Group management is beyond the scope of this article.
