ConQuest online enquiries - user guide

How to access and use the ConQuest Online Enquiries (OLE) portal as a subcontractor. It covers everything from receiving the initial email invitation through to downloading tender documents and recording your intention to quote.

Overview

ConQuest Online Enquiries (OLE) is a secure web portal that allows main contractors to distribute tender documents to subcontractors and collect bid intentions. As a subcontractor, you will receive an email invitation each time a contractor sends you an enquiry package.

The portal gives you access to:

  • Project and trade package details

  • All associated tender documents for download

  • The ability to record your intention to quote or decline

  • A full history of all enquiries sent to your company

📌Note: No account or password registration is required. Access is granted automatically via a secure one-time code sent to your email address each time you log in.


Step by Step Walkthrough

Step 1 - Receive the Invitation Email

When a contractor sends you a tender enquiry through ConQuest, you will receive an email from: [email protected]

The email will contain:

  • The name of the contractor and the project

  • The trade package name and code

  • The tender due date

  • A link to view the enquiry in the portal

⚠️Important: Do not share this link. It is unique to your company and provides direct access to the tender documents.

Step 2 - Open the Portal and Enter Your Email

Click the link in the email, or go directly to https://ole.conquestenquiries.com. You will be taken to the login page.

Step 3 - Verify Your Identity (OTP)

Check your inbox for an email from [email protected] with the subject line containing your 6-digit verification code.

⚠️Important: You have 10 attempts to enter the correct code within 15 minutes. After that, you will need to request a new code.

Step 4 - MFA Verification (Secured Tenders Only)

Some tender packages are marked as Secured by the contractor. These require an

additional layer of verification using a Multi-Factor Authentication (MFA) app such as

Microsoft Authenticator or Google Authenticator.

First time (MFA Setup)

Returning users

You will be shown a QR code. Scan this with your authenticator app to register the ConQuest portal as a new account.

Once scanned, enter the 6-digit code shown in the app to complete setup.

Open your authenticator app and enter the current 6-digit code shown for the ConQuest entry.

📌Note: The MFA code refreshes every 30 seconds. If the code expires before you submit, wait for

the next code to appear in your app and use that one instead.

Step 5 - Your Enquiries List

After logging in you will see the Your Enquiries screen. This lists all tender packages that have been sent to your email address.

Column

What it means

Client Name

The name of the main contractor who sent the enquiry

Enquiry / Project

The project reference and name

Trade Name

The specific trade package you have been invited to quote for

Trade Code

A short code identifying the trade package

Sent Date

The date the enquiry was issued to you

Status

New (not yet opened), Viewed, Intending to Quote, or Declined

Security

A padlock icon indicates this is a Secured tender requiring MFA

Actions

Click View Details to open the tender package

You can search across all columns using the search bar at the top of the list. You can also sort any column by clicking on the column header.

Step 6 - View Tender Details

Click the View Details button on the right side of any row to open the tender package. A panel will slide open showing the full details for that enquiry.

The Trade Details panel contains:

Company

The main contractor's company name

Project

The project code and full description

Trade

The trade name and code

Enquiry Name

The name given to this enquiry by the contractor

Reply To

The email address to use if you need to contact the contractor about this enquiry

Status

Your current intention status for this package

Sent Date

When the enquiry was sent

Due Date

The deadline for submitting your quote

Last Published

When the tender documents were last updated

Type

Invitation to Tender (ITT) or Amendment (if documents have been revised)

Step 7 - Record Your Intention

At the top of the Trade Details panel, you will see two buttons: Intend to Quote and Decline to Quote. Use these to let the contractor know whether you intend to submit a bid.

📌Note: Recording your intention does not submit a quote. It only informs the contractor of your plans.

Your actual quote or bid must still be submitted through your usual process or as instructed by the contractor.

Step 8 - Download Documents

The Documents section of the Trade Details panel lists all files attached to the tender

package. Documents are grouped by classification (e.g. Drawings, Specification, Bill of Quantities).

📌Note: Documents are served via secure, time-limited links. If a download fails or the link expires, close and reopen the Trade Details panel to refresh the links.

Step 9 - Send History

If the contractor has sent you multiple versions of the same enquiry (for example, an original ITT followed by an amendment), the Send History section will appear below the details area.

Click on any entry in the send history to expand it and view the message that was sent with that version, including any custom subject line or message text from the contractor.

📌Note: An Amendment badge (orange) indicates the contractor has updated the tender documents since the original invitation. Always check the send history to ensure you are working from the latest version.


Enquiry Status Reference

Status

Meaning

New

The enquiry has been received but the Trade Details panel has not yet been opened.

Viewed

The Trade Details panel has been opened and documents have been seen, but no intention has been recorded.

Intending

You have clicked Intend to Quote. The contractor can see you plan to submit a bid.

Declined

You have clicked Decline to Quote. The contractor can see you are not planning to bid.


Troubleshooting

Problem

What to do

I did not receive the OTP email

Check your spam or junk folder. If not there, wait 2 minutes and return to the portal to request a new code. Ensure you entered the correct email address.

My OTP code says it has expired

OTP codes are valid for 15 minutes. Return to the login page and request a new code.

The portal is asking for MFA and I

have not set it up

Click the option to set up MFA. You will be shown a QR code to scan with an authenticator app such as Microsoft

Authenticator.

I have lost access to my MFA app

Contact the main contractor directly. They can request a MFA reset for your account through their ConQuest system.

A document will not download

Close the Trade Details panel and reopen it to refresh the download links. If the problem persists, contact the contractor.

I cannot see my enquiry in the list

Ensure you are logged in with the same email address that received the invitation. The enquiry is linked to that specific address.

I accidentally clicked Decline to

Quote

You can click Intend to Quote at any time to update your status. The previous response will be overwritten.


Contact & Support

For enquiries about a specific tender package, contact the main contractor using the Reply To email address shown in the Trade Details panel.

For technical issues with the portal itself, contact the ConQuest support team via your main contractor, who manages the relationship with Access Group.
